The Logistics department plays a key role in ensuring logistic performance for the benefit of the programs conducted in the various project countries. The department consists of the Procurement Unit and the Field Support Unit. The Amsterdam Procurement Unit (APU) is responsible for processing the orders from Operational Centre Amsterdam (OCA)’s 26 project countries and delivering a wide assortment of medical and non-medical goods to the projects within the required timeframe. A part of the assortment is strategically held in stock while the rest is procured on a need-by basis.

With immediate effect our Logistics department is looking for a new colleague in the Order Team:

Operational Order Officer

Temporary position (1 year)

– Based in Amsterdam –

As a member of the Order Team, you promote an efficient procurement process of medical and non-medical goods for the projects with responsibility for a specific part of the order fulfilment process: from field order checking to the goods delivered to the warehouse. This position is within the Amsterdam Procurement Unit (Logistics Department) and reports to the Team Leader Order Team. The Order Team consists of 8 colleagues.


Main objectives

You are responsible for an efficient and timely procurement process for OCA project countries: from order receipt to goods delivered to the warehouse, including all related administration and follow-up. You are the one making sure that these actions are aligned with the import specifications of OCA’s project countries. Additionally, you act as focal person for a number of assigned project countries and suppliers.


Responsibilities and activities

Together with your colleagues, you are responsible for an effective and efficient screening and interpretation of orders from OCA’s project countries in terms of planning and technical/administrative aspects.

  • Check and, if needed, improve, the incoming orders to optimise the ensuing logistic process; in terms of planning and by maintaining and improving the quality of data in the ERP system.
  • Being in regular contact with OCA project countries, to answer their queries, keep them up to date about pending orders and give advice where appropriate.
  • Find solutions to non-standard situations, using your knowledge of and experience in the ordering process.
  • Look after a portfolio of suppliers and follow up on their adherence to agreements and supplier guidelines.
  • Being in close contact with the logistics service provider, to minimise disruptions, and deviations from the intended flow of inbound deliveries, and thereby costs.
  • Organise together with the freight forwarder the transportation to the warehouse as and when required by the delivery terms.
  • Help to improve and develop standard operating procedures.

Candidate Profile

Are you our new colleague? We are looking for an enthusiastic, flexible and reliable colleague with an MBO/HBO-level education in a commercial or logistical direction or with comparable experience.

  • You have at least 2 years of working experience in order processing and/or supply chain in high volume (medical and non-medical supplies).
  • You are familiar with automated order processing systems. We currently use Microsoft Dynamics 365, but experience with other ERP systems such as SAP, Navision or Oracle is also considered a plus.
  • You have strong interpersonal skills and are proficient in English (speech and writing).
  • You are organized, service-oriented and result driven, next to a phenomenal teammate with initiative and a pro-active demeanor.
  • You have experience working in an international setting, a fast-paced environment, know how to multitask and do not shy away from multiple deadlines.

We Offer

An exciting position within a stimulating, professional working environment in a major international organisation, based in Amsterdam. For this position we do not provide sponsorship.

A Dutch contract based on 40-hour employment for a period of 12 months.

The gross monthly salary will be in scale 5 between € 3,045 and € 4,118 depending on relevant professional experience, based on a full-time appointment.
